ePACT for Summer Camps

New this year - we're going 100% digital by replacing paper forms with a new online system!

Dunedin Parks & Recreation is excited to announce the adoption of ePACT Network, a secure digital platform that allows you to easily share your child's emergency and medical information with us while they are in our care. Not only is ePACT user-friendly and accessible from both your phone or computer, but it also ensures we have a way to communicate with you in the event of an illness, injury, inclement weather updates, or program closures.

Why are we using ePACT?
  • To save you time - With ePACT, you only need to enter your child’s information once. You can then verify that it is still accurate for additional programs or subsequent years, which can be done in just two minutes! If you need to make any quick updates, simply log in, make the necessary updates, and we'll be notified immediately.
  • For better privacy and security - ePACT's high encryption levels and commitment to security, means your data on ePACT is safer than on paper, where it could be lost or accessed by people who shouldn't have access to it. ePACT allows us to control and monitor access.
  • Better support - ePACT makes it easy for you to share comprehensive health and emergency contact information, so we can provide the best support for your child.
  • Timely communication - Families have the ability to add verified home and cell phone numbers, as well as email addresses. This ensures that you receive important updates via text, phone calls, and emails in the event of illness, injury, inclement weather updates, or program closures.

FAQs - Frequently Asked Questions:

What is ePACT?

ePACT is your emergency network, allowing you to securely store all your important information online. You then build support networks for your family by connecting and sharing your ePACT record with friends, relatives and organizations who support you.

Whether it’s your kids’ summer camp, sports teams, preschool or daycare, ePACT helps organizations better manage your critical information. ePACT ensures the organizations you rely on have secure access to medical concerns and requirements for your family, as well as contact details for you and your support people, like your nanny, sister or grandparents, so they can always reach the right people at the right time.

How secure is ePACT?

ePACT deals with very sensitive and confidential information, therefore the privacy and security of this data is our number one priority. The security of ePACT is modeled after the security standards required for online banks, and in some cases ePACT exceeds those standards. As a company, ePACT is also FOIPPA (Freedom of Information and Protection of Privacy Act), PIPEDA (Personal Information Protection and Electronic Documents Act) and HIPAA (Health Insurance Portability & Accountability Act) compliant.

Families always own their account and the information in it, so you are always in control of the organizations and emergency contacts that you share your information with. ePACT will never sell a user’s information, access or use account holder data for promotional purposes, or share it without the user’s permission.

How easy is it to create an ePACT record and include the right information?

Families regularly share that they love ePACT! Whether it’s using one account to share information across several programs within one organization, or the ability to update information in one place, families value the time savings and convenience that ePACT offers. ePACT surveys found:

  • 91% of families prefer to use ePACT over paper forms
  • 93% of families find ePACT easy to use
  • 93% of families agree that ePACT makes them feel safer, and would enable them to better manage any emergency

How do I use ePACT?

  1. After your register for a program, you’ll receive an email invite to share information with Dunedin Parks & Recreation.
  2. Click ‘Complete Request’ to create a free account, or log-in if you already have an existing ePACT account.
  3. Enter the required information and share it with Dunedin Parks & Recreation so that staff have access.

Do families have to fill out information for every program or every year?

No! ePACT makes it easy for families, because you only input your information once and it can then be shared with all your connected organizations program-after-program, and year-after-year. If information changes at any time, you can update it in one place, and it will automatically be updated across all organizations you have shared your record with.

What type of information does ePACT collect?

Organizations use ePACT to collect the same information that they previously collected on paper forms. This ranges from medical information, like allergies, health conditions and medications, to contact details for guardians and emergency contacts.

It is only accessible by our administrative team and the camp provider for your specific program. Once the program ends, access is revoked.

Who can access family information in ePACT?

ePACT provides organizations with different administrator privileges to protect information and enhance privacy. For example, front line staff, supervisors and administrators can be assigned to view records for all members or just the ones they are responsible for (e.g. a camp manager can only see the campers for a specific session or location). Once the program is over, the camp provider access for your child's session is revoked.
